Virtual Medical Receptionist / Patient Coordinator (Optometry)

About the role

We are looking for a Virtual Medical Receptionist / Patient Coordinator to support a busy optometry practice. The role is fully remote and involves being the first point of contact for patients, handling inbound calls, scheduling appointments and ensuring a professional, high‑quality experience that mirrors an in‑office team.

Key responsibilities

• Answer high‑volume inbound patient calls and provide courteous customer service.
• Schedule, confirm, reschedule, and cancel routine eye exams, contact lens fittings and specialty appointments.
• Make outbound calls for appointment reminders, recalls, follow‑ups and missed visits.
• Maintain provider schedules to maximize efficiency and reduce gaps.
• Update patient demographics, insurance details and communication notes in the EMR.
• Route messages accurately to providers and office staff.
• Support daily front‑office operations while keeping patient records current.

Required profile

• At least 2 years of experience working in an optometry medical office.
• Proven ability to manage high‑volume phone traffic with clear, accent‑neutral English.
• Bilingual in English and Spanish.
• Highly organized, dependable and able to work independently in a remote setting.

Required skills

• Crystal Practice Manager (or similar practice management software).
• Weave phone system.
• Electronic Medical Record (EMR) data entry and management.
