People Operations Coordinator

About the role

HarZa is a remote-first team that has scaled e-commerce brands from 0 to 7 and 9 figures in health and wellness, and is now building the Oralux team. This People Operations Coordinator role keeps the people engine running on cadence: recruiting coordination, onboarding, records, follow-ups and engagement programs are taken off the Head of People & Compliance's plate and turned into a reliable, documented routine. It is not an admin seat: the ideal person brings energy to a remote team, turns ideas into initiatives and keeps them going after launch.

Key responsibilities

• Run engagement and culture programs end to end (book club, wellness challenges, momentum and recognition programs), including reminders, participation tracking, prize fulfillment and fresh ideas.
• Make onboarding complete on day one: collect information, request and confirm accounts, book the onboarding call and loop in the manager and trainer.
• Coordinate recruiting so every applicant gets a response, every CV reaches Talent Acquisition and every interview and onboarding call is scheduled, with no candidate waiting more than 48 hours.
• Draft offers and contractor agreements from approved templates, track to signature, file and log, and route non-standard terms to the Head of People & Compliance.
• Build and assign the monthly 1:1 check-in cycle, send reminders and follow up until it closes (target 100% completion).
• Maintain Workable as the single source of truth, updating joiners, leavers, titles, managers and entities within two business days.
• Handle routine employee relations questions and attendance follow-ups, document everything and escalate complex matters the same day.
• Support function needs such as All-Hands presentation input, SaaS invoice routing to Finance, employment verifications and LinkedIn and employer brand content.

Required profile

• 2 to 4 years in People Operations, HR coordination, recruiting coordination or employee experience, owning a process end to end.
• Startup or scale-up experience (e-commerce, DTC, SaaS, tech, HR tech), used to moving fast and working without a manual.
• Proof of launching your own people initiatives (engagement program, recognition ritual, culture event, onboarding improvement).
• Experience supporting a team of 50+ people, ideally remote and across countries, with many requests in parallel.
• Fluent English; Spanish is a plus.
• Availability to overlap the collaboration window, 8am to 12pm EST, Monday to Friday.
• Payroll experience is not required.

Required skills

• Comfortable learning tools quickly: ClickUp, Slack, Google Workspace, Workable.
• Clear, warm written communication and discretion with personal and sensitive data.
