Customer Service Representative – Hybrid

About the role

MEDLIFE is seeking a Customer Service Representative to be the primary point of contact for participants and their families preparing for service‑learning trips. The role combines fast‑paced, empathetic support with logistical coordination, ensuring a smooth pre‑departure experience.

Key responsibilities

• Guide participants through every stage of the pre‑departure journey, ensuring timely completion of required steps.
• Respond to questions from participants and parents via email, phone, and other channels with friendly and accurate information.
• Coordinate travel‑related logistics, including flight bookings, refunds, cancellations, and trip changes in line with MEDLIFE policies.
• Schedule and facilitate meetings or calls with participants as needed.
• Collaborate with internal teams such as Trips, Finance, and Chapter Coaches to deliver consistent support.
• Maintain detailed records of all interactions in HubSpot or a comparable CRM system.

Required profile

• At least 1 year of experience in customer service, contact‑center, travel, hospitality support, or account management.
• Strong organizational skills and high accountability.
• Ability to balance empathy with efficiency in a fast‑moving environment.
• Comfortable working with established policies and procedures.

Required skills

• Proficiency with a CRM platform, preferably HubSpot.
