Legal Intake Assistant (Remote)

About the role

We are looking for a reliable and communicative Legal Intake Assistant to manage outbound communications and initiate claims for a boutique personal injury law firm. The role is essential for keeping the intake process moving smoothly by contacting insurance companies and gathering accurate documentation from clients.

Key responsibilities

• Make high‑volume outbound calls to insurance companies to open new legal claims.
• Proactively contact clients to collect missing information, documentation, and claim details.
• Maintain clear, accurate records of all communications, follow‑ups, and claim statuses in the firm’s tracking system.
• Navigate insurance protocols efficiently to minimize delays in claim initiation.
• Provide a supportive, professional communication experience for clients during the intake phase.
• Balance phone‑heavy tasks with timely administrative follow‑ups to prevent claim stalls.

Required profile

• 1‑2+ years of experience in customer service, call‑center environments, telephonic intake, or administrative support (legal or insurance background is a plus).
• Proven reliability, excellent attendance, and strong time‑management skills.
• Comfortable making consistent outbound phone calls throughout the workday.
• Fluency in Spanish and English, both spoken and written.
• Strong organizational abilities to manage multiple calls and tasks simultaneously.
• Experience using legal case‑management platforms such as CloudLex, Filevine, or Clio.

What we offer
