Operations Manager

About the role

We are a fast‑paced real‑estate investment and property‑management firm seeking a proactive Operations Manager to support our CEO/COO. This fully remote position coordinates renovation projects, tenant relations, and the entire transaction pipeline, ensuring smooth closings and high‑quality service.

Key responsibilities

• Provide administrative support to the CEO/COO, managing calendars, schedules, and daily priorities.
• Handle calls, emails, and mail professionally, both internally and externally.
• Coordinate real‑estate transactions from acquisition to closing, working with sellers, buyers, and title agents.
• Manage transaction documentation, title searches, and lending documents.
• Track and update all deals in the CRM (Podio) and keep files current.
• Schedule contractors, inspections, and walkthroughs for rehab and rental projects.
• Maintain rental spreadsheets, track utility payments, and manage vendor accounts and bills.

Required profile

• Business or sales experience with a proven track record.
• Excellent English communication (written & spoken) – 9.5+ level.
• Ability to work evenings/weekends for closings and pass a background check.
• High‑speed wired internet (minimum 200 Mbps) and a computer with Windows 10/11 or macOS, i5 processor, 8 GB RAM.

Required skills

• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
• Experience with CRM/scheduling tools, specifically Podio.
• Comfortable using Windows or Mac operating systems.
